Get Organized With VBS Checklists

Download the Checklist!

  • Set up a prayer team.
  • Meet with church leaders to discuss dates, budget, goals, and enlisting leaders.
  • Order the VBS 2026 Directors Kit.
  • Contact your local associational office for VBS associational training dates. Put the dates on the church calendar.
  • Begin enlisting leaders for Bible study, Worship Rally, and other rotation sites.
  • Order your Worship Rally Pack.
  • Order the VBS 2026 Kids Starter Kit: Grades 1-6 and the VBS 2026 Preschool Starter Kit: Babies-Kindergarten or the VBS 2026 Multi-age Starter Kit.
  • Enlist a VBS Promotion Team Leader to help develop a promotional plan.
  • Enlist a VBS Records Team Leader, a VBS Connection Team Leader, and a technology team.
  • Create a VBS Calendar of Events and place those events on the church calendar. Distribute a copy of the calendar to leaders as they are enlisted.
  • Schedule planning/training meetings and develop agendas.
  • Order and distribute VBS curriculum.
  • Finalize the VBS daily schedule.
  • Schedule a Planning Day to give volunteers a time to meet and collaborate on their VBS lessons, schedules, and so forth.
  • Plan VBS Celebration activities.
  • Begin promotion efforts to the community.
  • Plan to participate in the National Day of Prayer for Vacation Bible School (May 18, 2026).
  • Host a VBS team day for leaders and volunteers to finalize plans, sessions, schedules, and help with prep work.
  • Collect the “Supply List” forms and gather supplies.
  • Use Lifeway’s KidEvent Pro to begin early registration online.
  • Assign pre-enrolled participants to a Bible study room and other age-group departments.
  • Distribute supplies.
  • Finalize room assignments.
  • Finalize decor plan.
  • Send parents the VBS schedule.
  • Send volunteers a reminder about the first morning huddle.
  • Conduct the VBS Preparation Day.
  • Conduct a VBS Kickoff Event.
  • Decorate and set up all rooms.
  • Contact the parents or guardians of children who made decisions.
  • Provide a summary of VBS evaluation forms for the pastor and staff members.
  • Report your VBS summary and giving to Lifeway at vbs. lifeway.com/church-report and to your state association.
  • Use the “Leader Appreciation” ideas found in the Administrative Guide to express appreciation to all leaders.
